Meeting Planner /Program Planner

CE Alliance, a dynamic, unique, and growing medical education company in Greenwich , Connecticut , is searching for a full-time Meeting Planner/Program Planner.

Responsibilities:

• Plan and implement meetings, conferences, and special functions, which include recommending site locations that fall within defined constraints of budget and geographic requirements. Manage logistics, including preparation of meeting specifications, contracts, food and beverage, room block management, room set-up, audiovisual, and Internet, in addition to all other contacts with the selected site.
• All aspects of program planning from concept to completion, including corresponding with faculty and attendees. Serve as key liaison with all speakers ensuring all travel needs are met and honoraria processed after the event.
• Database maintenance. Management of the registration process, including data entry and data integrity of attendees in the program registration system (File Maker or online Web site).
• Preparation of program materials. Developing invitations, confirmations, and welcome packets, coordinating mass mailing and monitoring responses, and other administrative functions.
• Generation of reports, letters, badges, tent cards.
• Timely on-site delivery of meeting supplies.
• Travel. Responsible for on-site execution of events, including running registration, monitoring F&B functions, general session set-up, and evening affairs such as receptions and dinners.

Requirements:

• Minimum of 1 year meeting planning experience; medical education experience preferred but not required
• Maturity, discretion, and professionalism
• Excellent organizational skills with ability to multi-task
• Excellent written and verbal communication skills; attention to detail in proofing materials
• High-level skills in Word and Excel and comfortable with learning new programs. File Maker Pro experience a plus
• Willingness to travel
• BA/BS degree a plus

Salary:
Commensurate with industry experience.
